Late Fee, Cancellation, and Refund Policy

At Smart Ledger Bookkeeping Services, LLC, we strive to provide exceptional bookkeeping and related services to our clients. We understand that circumstances may arise where cancellation of services is necessary, and we aim to accommodate such situations to the best of our ability. Please review our cancellation and refund policy outlined below:


Late Payment Terms

Payment for services is due on the 1st of each month, as outlined in your client engagement letter or invoice. We begin work on the 1st; therefore, payment is expected in advance of service delivery. Invoices not paid within 10 days of the due date will incur a late fee of $25 or 1.5% of the unpaid

amount, whichever is greater. We may, at our discretion, waive the late fee once per client as a courtesy. Smart Ledger Bookkeeping Services, LLC reserves the right to:

  • Suspend services for accounts that are more than 10 days past due.
  • Withhold delivery of financial reports or work products until payment is received.
  • Apply additional administrative fees for collection efforts, if necessary.


Cancellation Policy:

1. Notice of Cancellation: Clients are required to provide written notice of cancellation of services 30 days in advance. This allows us to adjust our schedules and allocate resources efficiently.

2. Cancellation Charges: Depending on the nature and timing of the cancellation, clients may be subject to cancellation charges. These charges will be determined based on the extent of work completed and any expenses incurred up to the cancellation date. If services are canceled after work has commenced, a cancellation fee equal to one full month’s standard bookkeeping fee will apply. This fee reflects the value of the time, effort, and resources allocated to your account. If no work has begun at the time of cancellation, no cancellation fee will be assessed. We reserve the right to withhold or deduct this cancellation fee from any refund amount due, if applicable.

3. Emergency Cancellations: In case of unforeseen circumstances or emergencies, please contact us immediately to discuss the cancellation options. We will make every effort to accommodate your needs and minimize any inconvenience caused.


Upon cancellation of services, Smart Ledger Bookkeeping Services, LLC will retain financial records and supporting data for a minimum of seven (7) years, or as required by law. After that period, all records will be securely deleted or anonymized unless otherwise requested by the client in writing.


Refund Policy:

1. Refund Eligibility: Refunds may be issued in certain circumstances, such as:

  • Overpayment or duplicate payments
  • Services not rendered due to our inability to fulfill obligations

2. Refund Process: Clients requesting a refund must submit a written request along with supporting documentation, if applicable. Refund requests will be reviewed and processed within 15 days of receipt.

3. Refund Amount: The amount of refund will be determined based on the nature of the request and any applicable fees or charges. Refunds will be issued using the original method of payment whenever possible.


Exceptions:

1. Non-Refundable Services: Certain services or products may be designated as non-refundable. This will be clearly communicated to clients prior to engagement.

2. Third-Party Fees: Any third-party fees or charges incurred in relation to our services are non-refundable.

3. Policy Changes: We reserve the right to modify or update our cancellation and refund policy at any time. Clients will be notified of any changes in advance.


Dispute Resolution & Limitation of Liability:

In the event of any dispute related to service cancellations, refunds, or this policy, both parties agree to attempt resolution through direct communication. If no resolution is reached, the dispute shall be governed by the laws of the State of Nevada and litigated exclusively in the courts of Clark County, Nevada.


By using our services, you agree that Smart Ledger Bookkeeping Services, LLC’s liability for any claim shall be strictly limited to the amount equivalent to one month’s paid bookkeeping service under your most recent agreement with us.
